Sharing Within the TZ Digital Ecosystem

How information flows across TZ Digital brands and platforms

⚠ Important Notice: Jobs In Zanzibar is not operated as an isolated data environment. Information provided to Jobs In Zanzibar may be shared, accessed, processed or stored across the TZ Digital Company Limited ecosystem.

This can include sharing information with other TZ Digital Company Limited departments, brands, websites, platforms, internal technology systems, central databases, CRM, marketing, automation, AI and administrative services.

This sharing allows us to operate centralised systems, improve our services, identify relevant opportunities, manage customer and candidate relationships, prevent duplicate records and develop new services.

For example, your contact details may exist within a central TZ Digital CRM rather than a database exclusively used by Jobs In Zanzibar.

Marketing Across the TZ Digital Ecosystem

Where legally permitted, we may use information such as your name, email address or telephone number to inform you about other relevant services operated within the TZ Digital Company ecosystem.

You may opt out of marketing communications at any time. Opting out of marketing will not prevent us from sending communications that are necessary to administer your account, application or recruitment process.

8

Our Use of Artificial Intelligence

How AI assists our recruitment and business operations

🤖 AI Notice
⚠ Jobs In Zanzibar uses Artificial Intelligence, machine learning, algorithms and automated workflows as part of its recruitment and business operations. By using our services, you acknowledge that information you provide may be processed using AI-assisted systems.

AI may be used to assist us with activities including:

  • Reading, parsing and extracting information from CVs;
  • Identifying qualifications, employment history and skills;
  • Creating candidate profile summaries and structured candidate records;
  • Comparing candidate experience against job requirements;
  • Identifying suitable vacancies or candidates; candidate search and ranking;
  • Drafting candidate and employer communications;
  • Generating interview questions; summarising interview information;
  • Analysing, categorising and improving job descriptions;
  • Detecting duplicate candidate profiles; data quality checks;
  • Administrative processing; workflow automation; customer support;
  • Fraud, spam or abuse detection; and
  • Improving the efficiency of our recruitment processes.

AI Does Not Replace the Employer

ℹ AI-generated results are intended to assist recruitment processes only. An AI system identifying a candidate as suitable does not guarantee that the candidate will be contacted, interviewed or employed. Employers remain responsible for making their own recruitment and employment decisions. Our staff may also review, modify, reject or override AI-generated outputs.
9

AI Providers & Third-Party AI Services

External technology providers that may process your data

We may use technology supplied by third-party AI, machine-learning, cloud-computing and automation providers. When these systems are used, relevant information may be transmitted to or processed by these providers.

This may include information contained within CVs, candidate profiles, job descriptions, application information, emails, messages, interview information and other recruitment-related records.

We aim to limit information provided to external technology providers to what is reasonably necessary for the relevant processing.

ℹ Some AI and cloud service providers may operate infrastructure outside Tanzania. This means information may be processed internationally as described in Section 13.
10

Automated Candidate Matching & Profiling

How our systems analyse and match profiles to vacancies

Our systems may automatically analyse candidate profiles and vacancies, considering information such as:

  • Job title; employment history; years of experience; skills; qualifications;
  • Languages; location; salary expectations; availability;
  • Industry experience; seniority; keywords within a CV;
  • Employer requirements; and previous application activity.

These factors may be used to generate recommendations, match scores, rankings or other indicators designed to assist our recruitment team or employers.

ℹ Automated matching is a tool to assist recruitment rather than a guarantee of candidate suitability. Where applicable law provides a right relating to significant automated decision-making, you may contact us to request information about the processing or request appropriate human review.
11

Sharing Candidate Information With Employers

What we share and when

The purpose of Jobs In Zanzibar is to connect candidates and employers. Candidate information may therefore be disclosed to existing or prospective employers where we believe there is a legitimate recruitment purpose.

Information shared may include: name, CV, candidate profile, photograph, work experience, qualifications, skills, salary expectations, availability, screening results, interview information, references and other information relevant to the vacancy.

ℹ Submission of an application means you are asking us to consider your information in relation to that vacancy and, where appropriate, share your information with the relevant employer. Where you maintain a general candidate profile, we may also consider you for other relevant vacancies.
12

Other Parties We May Share Information With

Service providers and other recipients

In addition to employers and companies within the TZ Digital ecosystem, information may be shared with service providers that assist us with: website hosting, cloud hosting, databases, email, SMS, WhatsApp and messaging, CRM, recruitment software, AI services, automation, analytics, cybersecurity, data backup, document processing, payment processing, accounting, legal and professional advisory services.

We may also disclose information where reasonably necessary to:

  • Comply with law or a court order;
  • Respond to a lawful request from a public authority;
  • Protect our legal rights or investigate suspected fraud;
  • Protect our systems or users; or
  • In connection with a sale, restructuring, investment, merger or transfer involving all or part of our business.
13

International Data Transfers

Processing outside Tanzania

Jobs In Zanzibar uses internet-based technology, cloud services, AI platforms and other service providers that may operate in multiple countries. As a result, personal information may be stored, transmitted or processed outside Tanzania.

Where international transfers are subject to applicable data protection requirements, we will seek to use appropriate safeguards and comply with applicable requirements governing cross-border transfers.

⚠ Users should understand that using cloud-based recruitment, communication, automation and AI systems may necessarily involve processing through infrastructure located outside Tanzania.
14

Our Legal Basis for Processing

The lawful grounds on which we process your data

Depending upon the circumstances and applicable law, we may process personal information based on:

  • Your consent;
  • Steps necessary to provide a service requested by you;
  • Performance of a contract;
  • Our legitimate business interests;
  • The legitimate interests of an employer seeking candidates;
  • Compliance with legal obligations;
  • Protection of our rights or the rights of another person; or
  • Other lawful grounds available under applicable legislation.

Where processing relies on consent, you may withdraw that consent, subject to legal and operational limitations. Withdrawal of consent does not necessarily require deletion of information that we are legally entitled or required to retain.

15

Data Retention

How long we keep your information

Recruitment does not always result in immediate employment. We may therefore retain candidate profiles after an individual application has ended so that we can:

  • Maintain your candidate account and consider you for future positions;
  • Contact you regarding relevant opportunities;
  • Maintain recruitment records; resolve disputes; prevent fraud;
  • Analyse our recruitment services; and comply with legal obligations.

Retention periods may differ depending upon the nature of the information and why it was collected. We will seek not to retain identifiable personal information for longer than reasonably necessary, subject to legal, contractual and legitimate business requirements.

You may request deletion of your candidate information as described in Section 19.

16

Accuracy of Candidate Information

Your responsibility to provide correct information

Candidates are responsible for ensuring that information submitted to Jobs In Zanzibar is accurate and truthful. You should update your profile when information changes.

⚠ Providing false information, false qualifications, false references or misleading employment history may result in removal from a recruitment process, suspension or deletion of an account, information being corrected or flagged, or other appropriate action.
17

Data Security

How we protect your information

We use reasonable technical and organisational measures designed to protect information against unauthorised access, loss, misuse, alteration, disclosure and destruction.

These measures may include access controls, authentication systems, server security, backups, logging, encryption and staff access restrictions where appropriate.

ℹ No website, cloud platform, email system or internet transmission can be guaranteed to be completely secure. Users should also take reasonable precautions to protect their own accounts and devices.
18

Your Privacy Rights

What rights you may have over your personal data

Depending upon applicable law and your circumstances, you may have the following rights:

Request access to your personal information
Request correction of inaccurate information
Request deletion of information
Object to certain types of processing
Request restriction of certain processing
Withdraw consent where applicable
Object to direct marketing
Ask questions about automated decision-making
Request human consideration where applicable
Request information about how your data is used
Submit a complaint to a data protection authority

We may need to verify your identity before fulfilling certain requests. Some rights are subject to legal exceptions — for example, we may be required to retain certain information for legal, accounting, security or dispute-resolution purposes.

19

Removing Your Candidate Profile

How to request deletion of your data

You may request that your Jobs In Zanzibar candidate profile be deleted. Where a valid deletion request is received, we will take reasonable steps to remove applicable personal information from active systems unless there is a lawful reason for retaining it.

Information may remain temporarily within system backups, security logs, financial records, records required by law, or records necessary for the establishment, exercise or defence of legal claims.

⚠ Where your information has previously been sent to an independent employer, that employer may maintain its own copy under its own privacy obligations. Deletion from Jobs In Zanzibar does not necessarily delete information already lawfully provided to an employer.
20

Marketing Communications

How we may contact you about relevant services

We may send communications regarding relevant vacancies, recruitment services, candidate services, employer services, platform updates and relevant products or services within the TZ Digital Company ecosystem.

Where applicable, marketing messages will include a method of opting out. You may also contact us and request that marketing communications stop.

ℹ We may continue to send non-marketing messages relating to active applications, account administration, security, transactions or services you have requested.
21

Cookies & Analytics

How we use cookies and tracking technologies

Jobs In Zanzibar may use cookies and similar technologies for purposes including: keeping users signed in, remembering preferences, website functionality, security, measuring website traffic, understanding user behaviour, measuring advertising performance and improving our services.

Some cookies may be provided by third-party technology or analytics providers. Where required, additional information may be provided through our Cookie Policy or cookie management tools.

22

Third-Party Websites

Links to external sites we do not control

Jobs In Zanzibar may contain links to employer websites, social media platforms or other third-party services. We are not responsible for the privacy practices of independent third parties.

You should review the privacy policies of those organisations before providing personal information directly to them.

23

Children

Our approach to younger users

Jobs In Zanzibar is intended primarily for individuals who are legally able to seek employment. We do not knowingly seek to collect personal information from children where doing so would be unlawful.

Where a position legally permits employment of a person below the age of 18, additional requirements or parental/guardian involvement may apply.

24

Recruitment Is Not Guaranteed

What processing your data does not create

Processing of personal information by Jobs In Zanzibar does not create an employment relationship and does not guarantee an interview, shortlisting, employment, a response from an employer, or selection for a vacancy.

Final employment decisions are normally made by the relevant employer.

25

Changes to This Privacy Policy

How we notify you of updates

We may update this Privacy Policy from time to time to reflect changes to our services, new technology, new AI functionality, changes within the TZ Digital Company ecosystem, changes to our business practices, or changes to legal or regulatory requirements.

The latest version will be published on JobsInZanzibar.com with an updated revision date. Where changes materially affect how personal information is used, we may provide additional notice where appropriate.

26

Governing Privacy Framework

The legal framework this policy operates under

We aim to process personal information in accordance with applicable data protection and privacy requirements relevant to our operations, including applicable principles under Tanzania's personal data protection framework.

Because Jobs In Zanzibar operates in Zanzibar and uses international cloud and technology providers, different privacy or data-transfer requirements may apply depending on the nature of the processing and location of the individuals involved.

Nothing in this Privacy Policy is intended to limit statutory privacy rights that cannot lawfully be excluded.

27

Complaints

How to raise a concern about your data

If you believe your personal information has been processed incorrectly, you should contact Jobs In Zanzibar in the first instance so that we can investigate the issue.

ℹ Where applicable, you may also have the right to lodge a complaint with Tanzania's Personal Data Protection Commission (PDPC) or another competent supervisory authority.
